Our client are a small manufacturing business who are expanding their businesses in the St Ives area and need an Office Manager. You will need to have the necessary experience enabling the MD to focus on managing the expansion and develop Key Business Accounts whilst you manage the operation.
Presently only 5 person work in this business, however this number is set to expand rapidly hence they need someone capable of managing that growth in terms of processes and service levels. This is a new role whereby the right person would be able to bring their expertise to the table and make it their own.
The role is basically to act as the conduit between the MD, warehouse/despatch and the client. Duties will include but not limited to:
Overseeing customer service orders are in line with agreed SLAs and KPIs. Extensive liaison of customers. Administration of despatch which would include processing orders in a timely and accurate manner, processing goods inwards and liaising with sales and warehouse. You will undertake general administrative functions in order to fully support the overall team. Taking orders over the telephone, email and website. Dealing with enquiries over the telephone, email, & website. Deal with suppliers over the telephone ensuring delivery and pricing are in line with agreements. Recruitment on an ad hoc basis. Dealing with company vehicle documentation. Managing staffing records, holidays and absenteeism. Facilities management maintain and monitor the condition of the buildings and equipment. Coordinate building and grounds maintenance including heating, car parking, fire safety and security. Establish and maintain service contracts. Ensure H&S compliant and all statutory checks are satisfactorily completed. Managing maintenance contracts for the equipment. Tracking the output of quotations and ensuring that these are followed up in order to maximise on sales. Managing the MDs diary where necessary. Assisting with invoicing and queries with clients.
Requirements for the role:
Must have excellent communication skills. Be experienced in working within a manufacturing environment. Competency with Sage 50 would be preferable but no essential.
