Mon – Fri 09.00 – 17.00 (Flexibility is required)
Temporary assignment – approx. 1 month (May be extended)
This role is tasked with providing administrative support to the department. This will include:
• Updating and maintaining accurate records on the system. • Maintaining information relating to works within spreadsheets. • Taking minutes in meetings. • Updating electronic filing system. • Handling all incoming calls into the department. • Maintenance and monitoring of all required held documents to ensure an effective audit trail and compliance with processes and procedures. • Liaison with various internal and external departments to co-ordinate a range of tasks. • Co-ordination of access to sites across the region. • Effective handling of complaints. • Ensure Energy Performance Certificates are issued at change of tenancies in accordance with requirements. • Provide support to Managers carrying out procurement exercises, advertising, collating pre-tender documents etc. • Co-ordination of quotations for works. • Monitoring tenant alteration forms, liaising with Surveyors as appropriate. • Co-ordination of meter readings. • Process invoices and raise purchase orders.
The successful candidate will have expereince of providing support to a large team within a busy office environment. Expereince of having worked within Local Authority is a distinct advantage as is some expereince of facilities. Good PC skills are also a must including Excel. Oracle would be desirable.
