Our client currently has a career opportunity for a stock and purchasing administrator to join their fast-growing company in Bar Hill, Cambridge.
Your duties will comprise:
• Raising purchase orders • Placing approved purchase orders with suppliers • Ensuring all items to be ordered are done daily working to supplier cut off times • Minimising lead times on internal calls and customer orders • Dealing with delivery issues and queries e.g. damaged items, short shipments • Reviewing overdue and outstanding orders and chasing suppliers for delivery promises by phone and email. • Circulating delivery promises to the correct departments • Arranging returns of unwanted and faulty items to suppliers and completing system work and maintaining paperwork. • Generating system stock reports for analysis and review • Creating parts numbers and assemblies record on our system • Implementing agreed changes from your line manager • Investigating and responding to finance queries e.g. pricing variations • Keeping internal calls up to date with latest delivery information and monitor daily • Making warranty claims • Managing large customer orders, including ordering, managing paperwork, arranging delivery with customer and arranging transport of goods whilst keeping customer lead times to a minimum. • Responding to large customer queries including delivery dates and delivery queries and issues • Manage testing process to ensure all paperwork and call processes are followed lasing with multiple departments to achieve this. • Deal with incoming queries from customers, engineers, salesmen and our call centre via email or telephone • Keeping databases up to date with latest part numbers, pricing and supplier details • Obtain quotes as and when requested
You will occasionally be required to help out in other areas if necessary when short on cover but these would be very occasional and some other small additional duties which could include;
• Printing instructions and labels. • Organising couriers and customer deliveries and producing delivery notes • Liaising with customers via telephone • Checking goods received • Putting away stock and ensuring correct location is selected • Report any discrepancies or damaged stock
What our client is looking for in the right candidate:
• Ability to work with little supervision and track multiple processes • Previous warehouse administrative experience in stock or purchasing (not essential) • Self-motivated with outstanding organisational and coordination skills • Excellent communication skills both written and verbal • High attention to detail • Experience of working in a purchasing departments is not necessary but would be an advantage • Strong working knowledge of MS Office specifically Excel • Ability to work to deadlines • Excellent Interpersonal and team working skills • Enjoys a varied working environment • Being able to set own priorities whilst working to deadlines to ensure all tasks are completed on a daily, weekly and monthly basis. • Ability to deal with any manual handling tasks required (Occasionally) • Ability to work as part of a team and on own initiative • GCSE or equivalent Maths / English • Possibility of enrolling on Supply Chain NVQ
