Technical Co-ordinator (Estates and Facilities) – Cambridge – £10.00 ph 1 Month Assist in providing comprehensive technical support to the Estates and Facilities service to include keeping accurate records, updating spreadsheets and databases, taking minutes of meetings, updating electronic filing systems, answering telephone calls and other general technical and providing administrative support as necessary. MAIN ROLES & RESPONSIBILITIES: Providing operational support relating to maintaining accurate records, correspondence, and other relevant documentation ensuring an effective audit trail demonstrating compliance with statutory requirements for inspection of services, including a range of mechanical, electrical and other technical installations, Fire Safety, Legionella, Asbestos and related inspection and certification requirements. Co-ordinating a range of tasks in liaison with housing and other officers so as to facilitate gaining access to Council owned properties in order to carry out urgent works, in particular dealing with hard to access properties. Liaising with site supervisors, operatives, external contractors and tenants, scheduling appointments for inspections and associated works to minimise abortive site visits and effective allocation and programme of works being undertaken. Assist in providing a customer call handling service, ensuring calls are dealt within in line with corporate telephone standards also dealing with complaints that are reported in a timely manner ensuring standard timescales are met. Assisting officers in collating information requirements and analysis in formulating responses, escalating complex complaints where required to the Business Support Manager Ensuring that Energy Performance Certificates are issued at change of tenancies in accordance with requirements and renewed in a timely manner. Assist in providing support to managers carrying out procurement exercises, advertising, collating responses, recording details, collating and recording pre tender enquires and arranging interviews. Assist in the processing of Occupational Therapist referrals including updating records, issuing correspondence to tenants, arranging quotations for work and liaising with the Occupational Health Service, providing updates and signing off of installation plans. Monitoring of tenant alteration forms, liaising with surveyors as appropriate. Ensuring required papers are directed to the appropriate service area and that officers provide information in a timely manner. Contacting and advising tenants on the status of application and outcomes. Coordinating void utility meter readings, liaising with utility companies to give them accurate information and processing invoices. Assist in carrying out of training in relation to systems and processes with the Customer Service Centre in particular with regard to lean repairs processes. Providing advice and guidance to the Customer Service Centre in relation to repairs processes and how they need to raise jobs, and determining appropriate contact points such as for surveyors/contractors. Maintain and update accurate training records for site based technicians. Process invoices, and raise purchase orders as requested. Provide financial statistical and trend analysis information as required to.
Any other duties as may be deemed necessary including assisting in project works as required
