Property Administrator, Longstanton £18,000 p.a
If you are looking for a new post with career prospects, then please read on! Our client needs someone available immediately allowing you to take advantage of a good handover period. Based in Longstanton, Cambridge which have been established for 50 years.
Your duties will comprise:
• To provide administration support to the Commercial team • To develop and maintain professional relationships with tenants and co-workers • To develop an understanding of commercial property • Senior Management Support – assisting the Property Manager and Commercial Director as required • Telephone – to take all calls for the commercial department and transfer to the correct person and deal with queries etc. • Messages – take messages for the Property Manager and Commercial Director and process • Visitors for the Commercial Department – meet, greet and sign in visitors – offer refreshments • Filing – update commercial files with paperwork and archive historical information • LandMark – input tenant information onto LandMark database (property management system) and save the correct files under their tenancy and on the pink files • Website – review the commercial website to ensure all vacant properties are listed or removed if let • Property Documents – write to tenants and request statutory documentation (Asbestos, EPC’s, Gas Safety and Electrical Certificates and scan/upload them onto LandMark (property management system) • Vacant Property Inspections – manage contractors carrying out vacant property inspections and update records • Day to Day Management – dealing with the general day to day management of the commercial tenants and properties and ensuring that customers are dealt with in a professional manner and in line with the Whitfield Customer Charter • Property Inspections – carrying out property inspections once a month on the commercial portfolio and raising job sheets on Helpdesk for any repairs • Invoices – adding all commercial invoices to the commercial invoice log and signing them off (price dependant) • Refuse Contracts – managing the refuse contracts • Service Charge – with assistance from Finance and the Property Manager, managing the service charges and associated suppliers and contractors • Ad hoc administration tasks
What our client is looking for in the right candidate: • Previous experience of working within an office environment • Educated to GCSE at grades A-C to include English and Maths • Full UK driving licence • Previous experience as a receptionist or telephonist • Customer service sector experience • Competent in the use of Microsoft Word, Excel and Outlook
