Office Manager Temporary Staines - £13.00 - £13.75 per hour
Interim Office Manager to support the Corporate Legal team based in the Staines office, working closely with the lawyers and other businesses at different sites globally to support the needs of the department.
Key Responsibilities: Facilities management liaising with landlord on building issues / maintenance, arranging necessary repairs Purchasing for office office supplies (stationary and equipment, hardware, furniture, stocks for kitchen) Liaising with off-site teams to process invoices through Ariba system (legal and office invoices) Managing daily post and couriers inbound and outbound Covering telephones answering general calls into the department and rerouting to appropriate team member (in Legal or other sites), taking messages Managing contractors and service providers that require site access Tracking and managing office budget Carrying out general administrative duties as required assisting with Microsoft Office Systems (Word / Excel / Powerpoint / Sharepoint) Reporting faults to IT and acting as liaison Scheduling meetings and arranging travel through the corporate Amex system Training new and existing staff on systems (if appropriate and as required) Arranging and assisting with internal meetings on site includes facilitating video conference suite Maintaining document management systems electronic and paper Critical Skills and knowledge required: Ability to work on own initiative with minimal supervision. Able to prioritise and organize own workload to be able to deliver against deadlines. Organised and methodical. Ability to multi-task. Knowledge of and high level of capability working with Microsoft systems or similar applications. Polite, professional, customer-orientated manner. Ability to represent the department to internal and external clients. Excellent attention to detail. Flexible, adaptable and prepared to be hands on. Excellent English communication skills (both written and verbal). Excellent interpersonal skills to be able to liaise effectively at all levels.
Qualifications and education: Minimum Maths and English at GCSE or equivalent. Preferably educational experience beyond A-level or equivalent. First aider training welcome.
Experience required: Demonstrable experience working in a similar role with an administrative focus. Experience of organising and providing administrative assistance in an office environment and managing a small office. Previous experience within legal department / law firm welcome but not required. . Full-time, 9-5:30, office based
