JOB PURPOSE

To provide an effective, efficient, confidential and professional administrative support to the HR department.



3 MAIN ACTIVITIES

• To proactively manage diaries, arranging meetings and fielding any queries in her absence.

To provide administrative support to the VP, HR, HSE & IT and the HR, HSE and IT departments as a whole.

• To co-ordinate recruitment activity, working closely with the Senior HR Advisor. This will include:

 Posting of all vacancies internally, on the external websites.
 Managing responses from adverts and agencies by logging and tracking candidates, circulating CVs to managers.
 Organising and co-ordinating interview schedules.


 To complete the new hire / leaver checklists in a timely manner so that all actions are completed well in advance of the start / leave date.
 To organise and take and write up notes for entry and exit interviews with junior and temporary new hires.
 Scheduling pension inductions with the benefits broker.

• To raise appropriate authorisation for temporary contracts and track return of signed documentation, proactively flagging in advance of expiry.

• To support the Senior HR Advisor in ensuring relevant details/authorisations are obtained and provided in a time for the monthly payroll submission and monthly reporting requirements.

• To prepare the monthly payroll submission and headcount/end of month reports for the Senior HR Advisor’s approval.



• To administer and improve all HR filing systems including individuals’ personnel files, recruitment files, training information and general departmental filing.

• To deal with all departmental day-to-day administration including post, ordering supplies, processing of departmental invoices and expenses and interviewee expenses.

• Timely and accurate preparation and issue of general correspondence including mortgage and employment references.

• To coordinate CDT events such as Town Hall meetings, Christmas parties and training programmes.

• To manage the HR database, ensure records are kept up to date at any point in time (‘same day transactions’).

Candidates will be ideally educated to degree level with experience of administration ideally within an HR environment. Proven IT skills, including use of Microsoft Office (Word, Excel, PowerPoint).

Working knowledge of an internal e-mail system and electronic diary is essential. Previous experience of a Human Resources Information System would be preferred.
