To manage all incoming and outgoing calls efficiently and in the required manner on the main switchboard at the Alconbury site. To meet and greet visitors in a professional manner and to deal with them appropriately.
Duties:
• To answer all incoming calls in a professional manner. • To announce all callers before transferring calls. • To take messages and pass to individuals where necessary in the correct manner. • To make necessary out-bound calls in the required manner. • To organize and manage business lunches for meetings. • To organize refreshments for visitors where appropriate. • To manage the booking facility for the meeting rooms in the agreed manner. • To check supplies and organize the purchase of canteen supplies for the site. • To check supplies and organize the purchase of stationery for the site. • To handle all incoming and outgoing mail for the site. • To ensure that location maps and transportation where applicable are in place for visitors. • To arrange courier services for dispatching parcels from the site. • To ensure that H & S regulations and company policies are adhered to in the reception area. • To protect at all times the confidentially all information generated by or provided to the Company. • To issue, activate and deactivate door access cards for Alconbury staff. • To ensure that the Net2 software is updated to show correct data. • To arrange and purchase the flowers for the reception area on a weekly basis. • To maintain plants on site on a weekly basis. • To assist Customer Services as defined by the Customer Services Manager. • To carry out any other duties as defined by your manager.
