Job Brief:
The main role of the Production Administrator is to assist the production management team with the administration of the companys production function.
Job Responsibilities:
• Enter cash sales onto the cash sale spreadsheet, type up issue pro-forma cash sale invoices to customers. • Process cash sale payments (credit cards) and issue pro forma cash sale receipts to customers. • Input production data onto job cards and print the job cards ready for distribution to production supervisors. • Type up delivery notes and print ready for dispatch of goods. • Liaise with despatch to arrange daily carrier/courier collections. • Update sales order books spreadsheet, with information from issued delivery note (pink slip). • Prepare and print weekly production schedules for distribution to production team. • Create new production files (hard files and e-files) and keep files updated with necessary documents and information. • Answer all incoming telephone calls and distribute callers to the correct person in the company. • Prepare the daily post, and take to the local post box. Monitor the franking machine account. • Prepare and issue purchase orders. • Monitor and keep replenished the stationary supplies. • General filing including invoices, purchase orders, job cards, etc. • Maintain the vending machine, including cleaning the machine and replenishing supplies.
Candidate Requirements:
• Strong administration skills. • Excellent communication and interpersonal skills. • Production knowledge is an advantage. • Excellent IT skills, be computer literate in the use of Office Systems, e.g. Microsoft Office, Word processing, spreadsheets, database and extensive knowledge of Excel. • Ability to priorities workloads, keeping to deadlines and disclosure requirements. • Communications competently and confidently in a variety of situations including one to one and team settings.
