Description: | Key Result Areas/Overview Oversee the secure and timely receipt and distribution of the Councils mail for all departments.
Key Contacts Internal: Colleagues within all departments including Trading Standards External: Royal Mail, Pitney Bowes, Neopost, Couriers & Customers.
Key Responsibilities/Specific Duties Ensure that incoming and outgoing mail is dealt with in a timely and secure manner. To sort incoming mail into departments, open and distribute throughout the Council. Collect outgoing mail, checking correct postage rate is used in proportion to size/weight, and accurately franking to ensure correct completion of paperwork ready for Royal Mail collection. Updating daily spreadsheets for incoming (pre-paid) and outgoing (PPI) post, to reconcile with monthly invoices from Royal Mail ready for payment. Maintain office records – including postal dockets for Annual Billing and the issuing of Summonses required by Magistrates Court. To maintain stationery stocks in relation to the post room and franking machine. Ensure the correct postage levels are credited to the franking machine and update with any price increases to postal rates, as necessary. To be the first point of contact for any queries relating to post issues or mail deliveries for the Council. The scanning and indexing of incoming post and documents. |
