Our Client is looking for a capable candidate to work at their site office in Cambridge. This is an exciting role requiring the post holder to co-ordinate the site requirements and ensure all necessary documentation is held in accordance with requirements.
Broad Description of the role:
This role requires the employee to provide clerical and administrational duties for the Site Project Management Team.
Main responsibilities and key outcomes:

Key Responsibilities:
• Photo copying / Scanning documents / Encapsulating documents • Maintain general filing; Project Engineers filing and archive various paper work. • Ordering and monitoring of site stationery. • Monitor of site holidays, absence records and liaison with HR department in Nottingham. • Monitor of computer system and liaison with IT department at Cambridge.
Reception: • Receive and handle incoming calls. • Welcome visitors and monitor meeting room diary and co-ordinate with client. • Process incoming and outgoing mail on a daily basis. • Record Engineers day to day movements.
Secretarial Duties: • Typing: letters, faxes, memos, e-mails and meeting minutes and reports. • Scanning various documents for manuals and schedules. • Preparation of reports, presentations and client documents. • Provide clerical support for the Site Management and Engineering Team. • Scheduling and booking in advance deliveries to site 24hours in advance.
Document Control: • Daily monitoring of Livelink, or (other main contractor management sites) • Download latest drawings and updates Drawing Tracker and Issues Sheets. • Create and update Drawing Issue Sheets. • Issue drawings to Sub-contractors and Engineers; office and site. • Ensure Site Staff and Sub-contractors have copies of latest drawings and schedules. • Ensure drawings copies of latest Drawing Issue Sheets are displayed in Site Offices.
Reporting: • Fortnightly Drop Line Progress Reports - Asta PowerPoint - or relevant progress reports required at the project. • Collate and produce Monthly Project Managers Reports. • From Daily Signing In and Out registers or maintains Daily and Weekly Labour Records. • Take Minutes at Sub-contractor Meetings. • In conjunction with Site Supervisors complete Timesheets for all directly employed staff. • Assist in preparation of progress reports using Microsoft Office and planning software where required; training on software will be given.
Health and Safety: • Arrange Inductions to be carried out by Site Supervisors. Booking of inductions with client for Imtech Operatives / Subcontractor Operatives. • Obtain copies of CSCS and JIB cards plus competencies IPAF or PASMA etc. • Near Miss, Hazard Alert Campaign - Collate and Maintain Records. • Maintain Health and Safety files and records / update Notice Board • Weekly Tool Box Talks / Self Audits • Take 5 Audits • Booking in of visitors to site.
