Description: | To manage the Customer Service Function under direction from the Operations Manager to ensure high standards of customer contact and efficiency.
Ensure all customer orders are processed quickly and efficiently, from receipt of order, checking account credit rating, into Production and through to Despatch ensuring that the order is cleared to the customers satisfaction.
• Manage the Customer Service Department, handling all enquiries coming into the Department and maintain close communication with all clients both home and overseas. • Support all internal and external Sales personnel, handling any issues relating to their accounts which may need addressing internally.
Report findings and recommendations and implement with the Production Department. • Support all Sales personnel is developing new business. • Develop, train and guide any new members of the Customer Service Department to meet the Companys objectives. • Take on responsibility of any new accounts as directed by the Operations Manager or Sales Director.
• Be responsible for liaising with QA Department for Certificates of Conformity and release of items required for despatch. • Advise on sales forecasts figures which means liasising with planner, sales and despatch and forwarding to the Operations Manager or Sales Director as and when required. • Deal with all price enquires from customers in relation to existing products, seeking advice from the Sales Account Holder and Sales Director. • Ensure customer complaints are dealt with and responded to in a timely fashion. • Assemble weekly order statements and other statistical reports as requested. • Negotiate carrier rates on every import/export. • Deal with India/China/EAU imports • Assist and work with Despatch to plan despatches due. • Resolve invoice/delivery queries. • Undertake any reasonable task not defined in this Job Description at the discretion of the Operations Manager or Sales Director.
Effective management of the Customer Service Department to ensure that:-
• Orders are processed promptly, customer enquiries are dealt with swiftly and in a professional manager. • Invoices, despatch paperwork and Credit Notes are handled accurately and efficiently. • Despatches are made to customers on time from goods available in stores. Accurate stock records are maintained.
