Description:As Admin Support it is your responsibility to ensure that all contracts administered by yourself are developed to their maximum potential, and that all steps are taken to ensure acceptable return on investment.



Main duties include;
• Maintaining and recording accurate and easily accessible information for all allocated customers.
• Continually checking with each customer what their current initiatives, projects or strategies are.
• Ensuring customer accounts are well administered and organised.
• Updating and maintaining customer records for all allocated accounts.
• Retaining in an organised manner relevant up to date market information e.g. price movements, AAF trends, lead times, sourcing information, customer information etc.
• Continually monitoring cost price vs sales price of each contract and highlight any areas of concern.
• Obtaining enquiries from allocated customers.
• Regularly reviewing allocated accounts with the Sales Manager identifying the future tactics to secure or develop business.
• Entering all purchase orders onto the system.
• Assisting buyer with preparing purchasing spreadsheets.
• Sending enquiries out to suppliers.
• Helping the sales team to get quotes for back to back orders.
• Updating and maintaining approved supplier list.
• Checking supplier acknowledgments to order and update system.
• Controlling stock levels of customer special items within the limits agreed.
• Agreeing call off orders in writing with an end date for final delivery.
• Regularly discussing and reviewing with customers any contract call off orders rescheduling with suppliers where necessary.
• Following up important quotations or opportunities as they arise and try to close into an order.
• Quoting customers for their requirements promptly and within timescales agreed whether converting immediately into an order or recording clearly for future reference.
• Sourcing material to satisfy orders or enquiries within the timescale agreed.
• Following up previous quotations in an organised manner converting into order or establishing and recording the reasons why lost.
• Obtaining and accurately recording enquiries from customers.
• Taking overflow calls from sales.
• Managing and dealing with customers in a polite and friendly manner.
• Entering sales orders promptly and accurately.
• Providing customers with copy paperwork etc.
• Coordinating the Sales Managers diary and arranging hotels, flights, etc.
• Controlling and administering customer order books to ensure customers are kept fully informed and internal records reflect customer requirements.
• Ensuring company is always presented with a professional, efficient and well-organised image.
