PA – Huntingdon - £25,000 – 12 months
To assist the Board of Directors in all administrative, secretarial and project related activities, coupled with a complete secretarial and administrative service to the operative teams.
To manage the administrative and secretarial workload for the Directors. To undertake a range of projects. To co-ordinate meetings and the collation of reports and the follow-up of actions.
Copy type correspondence and draft correspondence. Proof read documents and letters. To organise travel, expense claims & accommodation. To manage own time and prioritise workload To set up and maintain filing systems Scanning and photocopying Arrange couriers/despatch of documents To undertake a range of projects as determined by the Directors. To research, evaluate and organise information from various sources in order to prepare briefings and reports. Compliance with Health, Safety, Environmental and Quality polices and management systems. To take telephone calls and messages on behalf of the Directors and deal with as appropriate. To build relationships with key contacts of the Directors including clients. Manage the diaries of the Directors. Organise meetings. Produce meeting agendas and prepare any papers that may be necessary. Take meeting minutes, produce and distribute To organise refreshments for meetings To chase the follow up of actions as recorded in meeting minutes To oversee the collation and distribute reports. To draft correspondence for the Directors. To set up and operate TBC systems To prepare high quality presentations.
First class communication skills – ability to liaise with senior people on sensitive and important issues. Excellent written skills – ability to draft correspondence for presentation to the Board. Excellent analytical skills – ability to understand, interpret and process information received. Excellent telephone manner – ability to deal with a wide range of people and important issues Excellent organisational skills – ability to manage multiple activities and to prioritise workload Strong IT skills using Outlook, Word, Excel and PowerPoint Ability to maintain a good working relationship with all co-workers and other external contacts.
