The job entails general office administration duties and the procurement of materials for the manufacture of our products.

All duties must be carried out with the aim of maintaining a flow of work to meet performance targets

and customer satisfaction.

Administration duties will be varied according to the requirements of the office whilst at the same time daily/weekly obligations must be kept up to date.

Material purchasing is critical to the flow of manufacture and all procurement should be carried out to meet production needs. In addition materials must be purchased within budget and at the right quality needed to produce our products.

In order to obtain the correct materials at competitive prices the purchaser must develop a good understanding of the materials and the suppliers.

Administration Tasks

• Receive and print documents from emailed enquiries.
• Download enquiries and documents from customer own database.
• Enter all enquiries, email and post, onto Matrix and Weekly Performance.
• Produce copy quotes for customers from originals previously completed by the estimators.
• Reply to customer enquiries that have been declined
• Manage, archive and destroy customer enquiries.
• Arrange the labelling, packing and supply of product samples to customers.
• Record new sales orders on Counteract, Forward Order Book and Matrix.
• Produce and send a first stage Customer Acknowledgement showing the correct critical path to manufacture.
• Raise job sheet details on Counteract and ensure that costings, delivery addresses and dates are all correct.
• Check that rates entered onto Counteract match the priced schedule signed off by the estimator responsible.
• On completion of all documents for manufacture, obtain credit clearance and record the issue date.


• Send the second stage priced acknowledgement of order to the customer.
• Raise internal packing lists for loose items.
• Record a job-by-job breakdown of hours to each work category for production.
• Produce monthly costing reports, labour analysis.

Purchasing

• Order company consumables from weekly stock checks.
• Call off packaging materials, cover boards, pads etc.
• Progress chase materials that have been ordered and keep records.
• Update, maintain and report from the Chain of Custody register.
• Record all timber and timber product orders on the COC register.
• Update and maintain the Customer and Contract Portfolio.
• Control all company standards, Building Regulations, British Standards, NHBC Standards, HTM Standards.

Experience/Qualifications

A good general education with school or college qualifications and a working knowledge of Microsoft Word and Excel is required.

To gain knowledge of the materials we use and the products we manufacture. In addition to this there is a requirement for a basic understanding of sales, design and production procedures.



Hours of work are 08.00 - 13.00, Mon - Fri
